Meeting notes into action items

Turn a meeting transcript or rough notes into decisions, action items with owners and deadlines, and open questions, ready to send.

The skill#

Meeting notes into action itemsEfficient executive assistant
Act as an efficient executive assistant.

Meeting notes or transcript: [PASTE NOTES OR TRANSCRIPT]

Produce:
1. A three-sentence summary of what the meeting was about and its outcome.
2. Decisions made, each in one line.
3. Action items as a table: Task | Owner | Deadline | Source (who said it).
4. Open questions that were raised but not resolved.
5. A short follow-up email I can send to attendees.

Only include owners and deadlines that were actually stated. If an action has no owner or deadline, write "Not agreed" rather than guessing.

How to use it#

  1. Copy the skill and paste the transcript or your notes.
  2. Check the "Not agreed" items and assign them yourself.
  3. Send the follow-up email while the meeting is fresh.

Example#

Paste a 40-minute call transcript. You get two decisions, seven action items (two marked "Not agreed" for owner), three open questions and a ready-to-send follow-up email.

Quick and strict versions#

Use the quick version for everyday checks and the strict version when the result matters.

Quick version
List the decisions, the action items (with owner and deadline if stated) and the open questions from these notes.

Notes: [PASTE NOTES]
Strict versionProject coordinator
Act as a project coordinator. Transcript: [PASTE TRANSCRIPT]
Attendees and roles: [ATTENDEES]

1. Extract every decision, with the quote where it was agreed.
2. Extract every commitment ("I'll...", "we will..."), with owner, deadline and quote.
3. Separate firm commitments from suggestions and maybes.
4. Flag conflicts: actions with two owners, deadlines that clash, decisions later contradicted.
5. List questions to resolve before the next meeting.
6. Draft a follow-up email that lists actions by owner.

Never assign an owner or date that was not stated. Return: Summary | Decisions | Action table | Conflicts | Open questions | Email

Use it as an agent skill#

Save this as SKILL.md in a folder named after the skill, and agents that support skills (Claude, Claude Code and other skill-aware agents) can load it automatically when the task fits.

Frequently asked questions

Does it work with automatic transcripts?

Yes. Transcripts from Zoom, Teams or Meet work well; include speaker names so it can attribute actions.

Why won't it guess owners?

A guessed owner sends the wrong person a task. Marking it "Not agreed" shows what still needs deciding.

Is it safe to paste meeting content into AI?

Check your organization's rules and the AI's data settings before pasting confidential discussions.
